    Vistra has an immediate opening for an Administrative Assistant to support our client - The US Coast Guard in Miami, FL. 


    The Administrative Assistant ensures successful development and execution of office duties, data management and project assignment oversight working in conjunction with the Senior Field Contracting Officer, Contracting Officers, Contract Specialist and Procurement Agent/Technician at CEU Miami.


    This is a short term (9 month) position. 


    Core duties and responsibilities include the following. Other duties may be assigned.

    • Perform data entry, maintenance and queries in the various Coast Guard systems and conduct simple analysis of information through various
    • Update data for the Contracting Branch and serve as backup for Production Control Clerk to populate data for weekly production meeting when
    • Answer phone calls from contractors and direct to appropriate Contracting Officer as well as schedule new contractor introductory meetings via phone or email with SFCO/K.O.
    • Prepare letters /emails correspondence; monitor and record any response.
    • Review contract files for completeness and archive contracts to include, boxing and shredding documents that have been determined no longer required in accordance with the archived
    • Copy and distribute contract files as required for Legal
    • Prepare/update spreadsheets and/or
    • Develops and maintains a courteous and professional relationship with the local POC and Unit staff

    • Education - High School Graduate or college diploma
    • General Experience - Has a minimum of two years’ experience working as an administrative assistant performing general office services, data management and project assignment
    • Specific Experience - Expertise in MICROSOFT Applications to produce letters, solicitations, modifications, awards, visual presentations, spreadsheets and e-mails communications with different governments
    • Provide knowledge of certain office software programs to include, but not limited to: Federal Business Opportunities (FBO); Contract Information Management System (CIMS); Shore Asset Management (SAM); Financial Procurement Desktop (FPO); Financial Procurement Desktop Next Generation (FPDS-NG); Workflow Imaging Network System (WINS); Contractor Performance Assessment Reporting System (CPARS); Acquisition Planning Forecast System (APFS); and Microsoft Office Suite and other various systems that may be utlized.
